Erie VA Medical Center:
To say that the implementation of required training at VAMC Erie went
extremely well is an understatement! PerforMax3 brought years of experience
to the table from their work with hundreds of hospitals and medical centers,
and that experience was invaluable in getting our training up and running.
Here are a few facts about the process.
• Working with the PerforMax3 development team, and gathering approved
content for the Rapid Response Team, we created a web-based, interactive
program that was deployed on MaxTrax within 48 hours.
• In less than two weeks, 506 employees accessed and completed the Mandatory
Course. That is over an 80% compliance rate.
• These are exceptional statistics, especially when considering the short
turnaround time, the uncertainty of working with a new system (MaxTrax), and
all the organizational, clinical, administrative, and technical requirements
that go along with a project like this.
• PerforMax3 gave detailed instructions to our managers and supervisors on
how to use the Reporter function in MaxTrax, thus giving them an easy way to
track the progress of their employees and to help ensure compliance.
• VAMC Erie is delighted with our ability to rapidly implement and
effectively use the PerforMax3 e-learning system. Success with PerforMax3
has already paid for the cost of the program.

challenging goals, execute the required actions, and demonstrate significant

Optimize SME Support
Subject Matter Experts (SMEs) provide vital information and perspective that will validate your courseware.
SMEs are typically of great value to your organization, and so, are very busy. How do you get them to help?
Try following this STAR process:

SCOPE:
SMEs are accustomed to managing their own work. Provide an overview of the training objectives, audience and necessary results to help them buy in to the process.
STORYBOARD:
Whether their portion of the training will be finite or pervasive; let them know exactly what their role will be and how they fit into the training plan. Help them to understand their importance to the project based on their knowledge and expertise, but don’t make them the project leader. |

TIMEFRAME:
SMEs have their own priorities. In
order for them to bring your needs to the front burner, they must
understand your milestones and deadlines. Offer them dates for
drafts, reviews and publication. |

ACTIONS:
Be specific in what you are requesting. Refer to your
storyboard and your objectives. You may even wish to create leading
questions to guide the SMEs on the right track.
Describe your role as designer, developer and editor so that they
don’t spend a lot of time doing your job.
ASSESSMENT:
Ask SMEs to create one or two questions that will
measure comprehension. You can use these as a basis for your
assessment questions.. |

REMINDERS: The Absent-Minded Professor was a SME. Set up a reminder schedule with each SME. They will then expect the reminders and not feel "pestered."
REVIEW: Always offer SMEs the option of reviewing the final draft of training. They have partnered with you - partner with them.
REMEMBER: Always thank SMEs appropriately (with a handwritten thank-you note, small token, letter of appreciation to management, etc.). Give them credit in the training if possible, e.g. a “Contributors” page or dedication page. |
